Robins Kaplan LLP is committed to utilizing technology to provide quality legal services.  Effectively using technology provides efficient use of attorney time, efficient client communication and efficient delivery of client services.

Our strategy is to provide a world-class, highly secure, fault tolerant and standardized yet flexible architecture which allows us to quickly adapt to the changing technological needs of our clients and industry demands. We employ a 10Gb / 1Gb local area network in every office and connect all offices using an accelerated high-speed wide area network. In addition, we have a standard enterprise-wide configuration consisting of the latest enterprise-ready Microsoft Windows Server network operating systems, Exchange email system, SQL Server database systems, Windows Enterprise PC operating system, Office Professional application suite and the Autonomy Worksite / iManage document and records management system. In recognition of the importance to provide our clients and partners with exceptional service, we provide our attorneys, management and necessary staff with the ability, using two-factor token or certificate-based authentication, mobile device management policies and encrypted data transmission, to securely access email, calendar and contacts using smartphones and tablets as well as access to any firm system from anywhere via any Internet connection using our lightweight high-performance laptops.

Our firm employs a multidimensional database structure that provides critical information and services to the legal and professional staff.  The services include electronic discovery, information services, trial support, and multimedia and graphics, all of which are described in greater detail below.

Electronic Discovery

We have a focused Electronic Discovery practice group that is proactively involved in our cases from beginning to end. From the onset of a case, we develop a strategic Ediscovery plan that is defensible, cost effective, and efficient at fulfilling all of our client's discovery needs. This customized plan determines what information needs to be preserved and collected and what does not. This allows us to define the universe of information that ultimately gets collected, and in turn, the amount of time required to review documents for production, ultimately reducing the overall cost of document production.  To read more, click here.

Information Services/Administration

The Information Services Group's mission is to use the power of technology to provide service in a timely and efficient manner virtually anytime and anywhere.  By aligning best-in-class technology with business driven initiatives, we can support and deliver process and technology intensive solutions on behalf of our clients and their industries.  Using cutting edge hardware and web-centric software we are able to expedite the information flow throughout the firm, with our clients, and co-counsel on request.  Making this information available on a 24/7 basis provides greater efficiency and improved client services.  Some of the client-focused services we provide include:

Extranets

To better enhance our client services the Information Services Group provides secure extranet web sites between the firm and clients to facilitate the exchange of information in real time. Our simple to use, browser-based collaboration system provides a reliable platform for sharing files or transferring data.  Our extranets provide the tools necessary to manage specific case matters efficiently, decreasing delays while increasing accountability and productivity. Extranets, while available over the Internet can be used only by a limited audience to whom the firm has given the necessary permissions.

Our extranet sites are primarily used to enable clients and co-counsel to access information from anywhere in the world and collaborate with the professional staff of the firm. Our extranets are personalized specifically for each client and provide them with secure access to a wide variety of information specific to their matters, including pleadings, discovery documents, correspondence, memoranda, calendars, transcripts, reference materials, work product, status information and links to related web sites (i.e. U.S. Patent Office). 

OneBudget® Legal Practice Management

Developed internally through a collaborative effort between the firm's attorney's and technical staff, OneBudget® is a flexible Legal Practice Management ("LPM") software that allows our attorneys to manage their budgets to best meet their individual client's needs.  The OneBudget® tool provides effective matter management practices by providing:

  • Proactive monitoring of the budget on a daily basis.
  • More effective cost control on matters - managing a budget in real time allows attorneys to reassign timekeepers to other matters if approaching budget cap.
  • Incorporation of budget certainty and value into our normal practice, while allowing greater transparency in budgeting with clients.

Portal

The Information Services Group has built and maintains an in-house web site or "Portal". The Portal is an internal knowledge management system that contains a wealth of critical information available to all attorneys and employees of the firm.  The site contains:

  • Curriculum vitae of expert witnesses, associate counsel, interpreters and court reporters the firm has used across the country as well as an in-house analysis of their work.
  • Our "External Resources" section provides select links to scores of external web sites including Lexis and Westlaw. 
  • Online viewing of administrative information like policy manuals, personnel telephone directories, and department or practice descriptions, calendars, benefits and the latest in firm news.
  • Our powerful, in-house "Research Database" system provides a centralized and systematic method of storing valuable work product that can be easily retrieved when similar issues arise.  Our brief bank has approximately 10,000 recent research memoranda, opinion letters and other documents that were drafted by our attorneys.  The brief bank is a starting point for any research project, enhancing the quality of the work as it builds on the professional judgment of those who have researched the issue previously.

Time and Billing

The Information Services Group also offers practice management support by providing advanced reporting capabilities with our time and billing system along with important records information.  We develop and maintain a series of dashboards that highlight key performance indicators allowing attorneys to proactively manage their practice to ensure the efficient delivery of client services. 

Trial Support

Our Trial Support Department is a key resource for our firm's trial attorneys and practice groups. The group is experienced with the most sophisticated courtroom technology and software available and provides courtroom installations and training with these tools. They facilitate jury focus groups and mock trials, and manage the courtroom and war room logistics related to going to trial. The group also trains our attorneys on the use of courtroom and presentation technologies so they can use the technology themselves during trial to show exhibits, play deposition video and display demonstratives.

Our Trial Support team works hand-in-hand with our multimedia and graphics specialists to provide design, creative, and technical audio-visual expertise to a case. These designers work with attorneys and expert witnesses to assist them in conveying their concepts visually in a variety of ways by creating still and animated demonstratives. This helps judges and juries understand key concepts and processes that deal with topics ranging from medical and mechanical to theoretical. We have the design and audio-visual assets to take a project from concept to finished product. We are capable of designing models that vary in detail from basic visualizations to blueprint accurate. Projects routinely completed by our multimedia and graphics team include: audio and video recording and production, audio and video forensics, advanced DVD and Blu-ray authoring, photography, video conferencing, accident reconstructions, charts, digital presentations, diagrams, graphs, illustrations, pull quotes, and timelines.

Our Trial Support Department recognizes that trial-presentation and advancing multimedia technologies are critical tools for enhancing trial presentations. Technology allows our lawyers to show their story, not just tell it.  Retention and comprehension increase with the use of this technology, especially when utilized in a streamlined approach.
